Retail Operations
A faster, more efficient front counter means enhanced customer service. Compassmax was designed to combine simplicity, ease of use and speed. The system automatically knows each customer’s city, state and zip code based on the first three digits in their phone number, which in turn will save thousands of keystrokes a year and help you keep a more accurate customer base for marketing and aged inventory, postcards, labels, and letters.
- EASY NAVIGATION
- Easy maneuverability between screens — move quickly from one function to another, including cashing out a customer at any time. The system will automatically take employees back where they left off. The operator can easily jump to the pick-up screen from the quick receipt screen or the invoicing screen. Shortcut keys available throughout the system for common functions such as ticketing, pickup, quick receipts, route receipts, clocking in/out and summary reporting. Up to 3 additional shortcut keys can be defined for common functions specific to you.
- EASY SEARCH
- The system automatically knows if an operator (employee) is entering a customer by phone number (work and/or home) or by name based on the first letter or number typed. For example, if operator types the number "7" the system assumes a phone number entry and if the operator types the letter "M" for last name the system is intelligent enough to know it is a name entry.
- CUSTOMER MANAGEMENT
- Prompts when entering a new customer to let employees know if a similar customer exists. This eliminates the problems created when a customer is entered twice into a computer system. Multiple customers can be set up under a single phone number. This allows more than one person in a household to be responsible for their own account.
- NOTES AND MESSAGES
- Customer notes and optional “notify messages” can be programmed to remind employees of customer preferences. Customer notes display on screen while working with the customer account as well as print on the invoice as an additional reminder of preferences. Notify messages pop-up as an alert box when accessing a customer account and can additionally be programmed as a one-time notice. A full stop can be attached to a customer record. When activated, no transactions can be processed for the customer. A notify message can be used in conjunction with the full stop to indicate reasons why or make note to call the office about their account.
- REMINDERS AND HELP
- Reminds employees entering a quick receipt or an invoice when the customer has other orders ready to be picked up. Reminds employees of incomplete address or email information to aid in collecting more complete information. Reminds employees of unticketed receipts on file for the same customer to avoid mistakes. Reminds employees of important item and descriptor information during ticketing such as releases needed for bead work or leather. Help can be customized by screen and optionally forced as an alert for additional reminders specific to your business such as suggesting upcoming specials when the customer comes in.
- QUICK RECEIPTS
- Generate quick receipts for those operations that do not price at the front counter, but mark in orders at a later time. Quick receipts can track the invoice number, number of pieces dropped off and due date. A due time and any comments can also be added.
- INVOICE OPTIONS
- Invoices can be modified, reprinted, viewed, voided or re-racked after they've been written. Track the original number of pieces and price versus the modified number of pieces and price. A detailed transaction report also reports any invoices that have been modified or voided and the operator who performed these functions. References are tracked for modifies and voids to make note of the reason for the change.
- TAG PRINTING
- A variety of tagging methods and styles are available. You can print system generated garment tags or enter in your own tag or lot number. Permanent thermal barcode labels can be attached and used for faster and more accurate pricing and tracking number of times a garment has come in.
- OPEN CREDIT
- A customer can be issued an open credit amount for a claim, pricing error or even a current promotion being offered for use against future cleaning orders.
- PREPAY
- Prepay function available for deposits on specialty orders, unpriced orders, quick receipts or full ticket amounts. The system can be set to prepay all orders coming in or select it only when needed.
- PRICE CHECK
- A price garment feature is available at the counter to check prices on garments for a customer without having to use the invoicing function. Select and add upcharges for a more accurate price.
- RACK ORDERS
- Racking orders informs the system which orders are ready and where they are located. This can be done via keyboard entry, a scanner attached to the computer, or a detachable scanner that can be carried throughout the plant. Racking can be done for a whole order or one piece at a time. A racking history is kept on each order and piece to be able to reference where the item(s) used to be located. A rack range listing report is available to search for orders located or previously located in a specific spot or range of conveyor slot numbers to help in locating missing items.
- MESSAGE SYSTEM
- Compassmax offers an operator mail messaging system. Entering your id into the system alerts you of new mail and optionally takes you there to read it. Mail messaging can also be emailed. Alerts can be sent via operator mail to managers notifying them of activities such as issued credits, price reductions, customer service issues and more. Links to documents, web pages of information or ticket views can be attached to operator mail.
- GIFT CERTIFICATES/CARDS
- Gift certificates can be system issued and tracked by number – or – if you prefer, you can fill a preprinted gift card instead. Gift cards can be recharged and balance viewed at any time. Use gift certificates/cards at pickup or prepay. Gift cards can be valued for more than the amount collected if used for donations or charity.
- INFORMATION SERVICES
- Information Services gives you historical search power for any time period, current inventory or past including detail ticket views showing dates invoiced, modified, racked, picked up and full location history. Information services includes searches such as: Customer Invoice History, allowing you to view an entire customer history for the date range selected; Rack Range Customer List, to identify any orders that may have been accidentally given out from a nearby location; Item Description Search, allowing you to search for garments with no Tag ID (for example, "Who has brought in a red dress in the last two weeks?"); Locate Invoice by Tag Number or Barcode, so you find which order a garment belongs to by Tag ID or barcode number; Locate Invoice by Reference Number or Description, to find an invoice by an external ticket number, hotel guest room or wholesale customer name; and Lot Status to monitor all lots (running as well as closed) for current status and piece counts.
