Invoicing

With simple, easy-to-follow screens and fewer keystrokes required to fill out an invoice, Compassmax makes invoicing fast and easy. And you can make your price lists as simple – or as complete – as you like! Compassmax not only stores more information on invoices than any other system currently available, it also provides employees with many different ways to search for information to assist customers. Standard keyboard or touch screen options are available to make invoicing easy for you.

PRICING FLEXIBILITY
Create up to 999 different price lists! Price lists can be defaulted by customer or store as well as be selected on-the-fly during invoicing. Each price list can have unlimited departments (drycleaning, shirts, laundry, etc.), 99 categories per department (pants, suits, etc.) and 99 items per category (slacks, shorts, 2 pc suit, 3 pc suit, etc.). If an item is not included on your price list, you may describe and price a unique item at any time during invoicing.
UPCHARGES AND DESCRIPTORS
Unlimited upcharges/descriptors available per item! (e.g. white, silk, rayon). Manufacturer or designer labels can be used as descriptors and can be imported from an external list. True forced upcharges can be used to require your employees to choose from certain upcharge/descriptor types in order to complete a ticket and eliminate lost revenue from missed upcharges. An upcharge report can be printed by operator for specified date ranges and types of services to monitor what percentage of upcharges to overall price each operator is achieving when marking in.
DETECTS DISCREPANCIES
Detects any discrepancies between the quick receipt pieces counted at the counter and the number of pieces marked in later. Warns or stops you from placing too many pieces on one invoice or mixing service types if you usually keep them separate.
NOTES AND MESSAGES
A standard message table can be set up which can be used on individual line items or quick receipts. Messages can trigger an alert or a release to print and be defaulted by item or item descriptor. Up to 11 notes and messages available for each item placed on an invoice. Choose from the message table or enter in your own user defined message. Messages and notes can be searched in Information Services to locate invoices with common alerts, releases or specific instructions. Notes and messages attached to items display during piece count scanning and assembly for important instructions and can trigger an invoice special instruction verification line for inspection.
DUE DATES AND TIMES
Set up number of processing days per item or use an in by / out by method for a service. If there is more than one item on a ticket, the due date will automatically default to the item with the longest processing time. Route ticket due dates can automatically be set for the next delivery day, day before delivery or use standard item days. Due dates can be overridden for specials or extended when needed. A due time can also be established for tickets. This time can default by store and/or day of the week. The due time can be also changed during invoicing for time specials. A business schedule can be set so that due dates will not be set for invalid business days, such as Sundays – or – skip non-production days during calculation. A holiday table can be setup to skip days closed for holidays.
RUSH CHARGES
When a due date is overridden for a special, rush charges may be applied automatically to the invoice. Rush charges are setup by type of service and can be calculated as a flat rate or percentage by the invoice or by the piece. A rush charge report is available to monitor the frequency and revenue of rush charges being applied in the system.
COUPONS AND DISCOUNTS
A coupon table can be created to track the effectiveness of coupons, discounts and promotions. Coupons can be placed on invoices or quick receipts or taken later at pickup. A user defined coupon option is available for coupons not currently listed in the coupon table, good for honoring competitor coupons brought in. A system option allows or disallows you to take or combine multiple coupons on one invoice. Coupons can be setup as percentages or dollars off, with minimum sales required or maximum dollar off values. Invoicing can be setup to require scanning a coupon barcode for accountability.
INVOICE SPLITTING
There are different invoice splitting options available in the system. Setup a piece maximum per invoice and Compassmax can automatically split an order into multiple invoices at markin time based on the piece maximum set and/or service type of each item. When tracking assembly, invoices can automatically be split later as each piece reaches assembly or bagging. When splitting later, pieces are moved through assembly faster by not pre-determining which pieces go on each invoice ahead of time. You can split an invoice manually at any time if you need to hold up a piece for reclean and not hold up the rest of the order.
MANAGEMENT
Manage or export Fire Restoration work by marking invoices as fire orders or defaulting fire orders automatically by customer/price list. Manage pricing by defaulting price lists by customer/store, implementing permanent tagging, monitoring upcharge reporting and/or checking item history on the fly. Manage inventory and production with due date reports and inventory aging based on invoice due dates set.
